Managing Payroll Tasks
1. Create and maintain each Client file which may include filing folders, work instruction, payroll calendar, trusted source...etc
2. Performance daily work with medium to high complexity:
3. Performance banking/payroll fund requests, preparation of salary payment's report for uploading to the bank (DBS, SCB, HSBC and CitiDirect) and to arrange for payment of salary into individual employee's bank account, monitor banking deadlines and ensure timely delivery. Performance bank reconciliation on a monthly basis for those clients with a Trust account.
4. Performance statutory submission. Download CPF ROP and send it to Client on a monthly basis.
5. Provision of password protected email payslip to employees.
6. Prepared the Master Data & Pay Data File and upload to Horizon (payroll exchange portal) on a monthly basis.
7. Prepared the GL report.
8. Prepared the monthly invoice and uploaded to DataWareHouse(DWH) for global Clients.
9. Prepared KPI report and upload to SharePoint on monthly basis.
10. Registration of the company with the Center Provident Fund Board (if required).
11. To process statutory related submission (e.g Government-Paid Leave claim, NS claim, etc).
12. Others ad-hoc duties as assigned.
Year End Payroll Tasks
1. Performance of the leave initialization/leave closing.
2. Prepared and submission of IR8A, IR8S forms (if required) for employees during the calendar year.
3. Preparation and submission of Appendix 8A, 8B (if required) for employees during the calendar year.
Following Development Sample
Once received sample allocation:
1. Proceed the Color Standard
2. Received the sample order
3. Prepare SCQ (standard carton quantity)
4. Prepare garment for testing
Following Bulk Order
1. Checking SOC to make sure it is tally with the mini marker.
2. Forward mini marker to Procurement Department for accessories PO issuing.
3. Checking tech pack's measurement and color to tally with the placement.
4 Checking size break and buyer's PO against placement.
5. Liaise with the buyer if there are any discrepancies.
6. Issue fabric PO(stage system) to mill within 3 working days upon order placement(after handover from Development team).
7. Get ready to order's T&A(Time & Action) calendar and send it out before the order review with the buyer.
8. Submit accessories quality, accessories color, graphic strikes-offs, sample for buyer approval.
9. Arrange accessories and fabric yardages from supplier to China sample room for Fit, bulk AD, and PPS sampling.
10. Monitor, liaise and follow up with fabric/accessories suppliers on-time approval and shipment schedule.
11. Coordinate and communicate with factories on any issue that arises from them.
12. Ensure Fit and PPS approve on time.
13. Provide MI to the factory on time with correct info.
14. Ensure ALL the approved trim card/strike-offs/dye lot….. etc included updated information and clear details pass to the factory.
15. Update weekly T&A chart to the buyer every Thursday.
16. Issue cost analysis 2 weeks before shipment.
Costing
1. Liaise with the supplier for the quotation.
2. Source and negotiate pricing with suppliers.
3. Checking and indicated fabric cuttable width once received BOM. Forward to the paper pattern marker in order to request a mini marker for costing.
4. Combine all the artwork and forward to the embroidery department/printer to require the new artwork price, negotiate the price with the supplier if the price is unworkable.
5. Checking fabric, trim price, detail, fabric width, fabric weight, shrinkage, MOQ, surcharges, lead time, price validity with the supplier (fabric price changed according to season). Meanwhile, the updated price must update to the season price list.
6. Checking accessories price included wash test cost/details, MOQ, surcharges, lead time, price validity with supplier for the new item. Meanwhile, the latest price must update to the season price list.
7. Do draft costing sheet (key in fabrication & accessories for each style first).
8. Counting accessories consumption according to spec and sketch.
9. Count manually based on update spec and counter check with mini marker consumption to avoid any mistake or less count any fabric panel/consumption. Key in consumption to the cost sheet.
10. Discuss labour + overhead cost (factory CM)… department with superior before submitting cost sheet to the buyer.
11. Review sample comment and find out if any discrepancies vs cost sheet, revise cost sheet according to comment (e.g changed/reduce some workmanship, additional accessories, artwork size changed, graphic changed, cost-saving options… etc).
12. Issue forecast and order chart (view on monthly production capacity).
13. Issue OC form. Update and forward to the relevant department if any changes.
14. Issue fabric greige booking & zippers pullar/slider booking to zipper supplier.
15. Double-check again the unit price with the supplier to get a cheaper price depending on the order confirmed quantity before sending the booking to the supplier. Meanwhile, do CC to MR/Purchaser for further follow-up.
16. Arrange handover meetings and forward updated details to bulk MR.
17. Update master chart/GSS.
18. Issue final embroidery/printing price to embroidery department/printer.

Development
1. Puma sample development follows up from Proto sample, Reference sample (Color‐Up sample), Customer sample, PRV, SLM, Sealing sample until Sealing sample approved.
2. Check through all the details and clarify with the buyer regarding discrepancies, workmanship issues, technical issues, embroidery/printing issues once received the tech pack from the buyer.
3. Key in each style's sample information to Sample form module (Master 0)-ERP system.
4. Distribute tech pack to fabric and accessories purchaser, sample room, marker room within 1 working day. Meanwhile, forward the tech pack to the embroidery and printing department on the same day.
5. Hold the meeting after Proto review with developer OR Preview Inspection by World Cat. Forward information to the sample team and marker room regarding technical issues and buyer requirements.
6. Preparing sample mini sketches to relevant departments to easily identify the style and follow up.
7. Follow up on the fabric and accessories status and update our own sample tracking chart.
8. The sample request form must be attached with the correct fabric swatch and then pass it to the sample cutting department to arrange cutting. (Sample type: Proto sample, Revised Proto sample, Reference sample, Sealing sample, and SMU‐Customer sample).
9. Attend Fit Proto review with the developer and World Cat Preview sample inspection (video conference meeting in factory), afterward will hold the internal meeting with sample room, QC, production and marker room's in-charged person to inform them regarding buyer requirement.
10. Preparing embroidery or printing artwork submission form to the trim card team (to stick the approved strike‐off).
11. Preparing sample satin stickers to the buyer and stick on the sample for easy identify styling.
12. Checking sample before send out (for PRV + SLM sample will select 1 piece sample for World Cat inspection @ in our factory).
13. Preparing sample Pre‐check form (softcopy) and sending along with the sample to World Cat.
14. Provide a trim card to the sample cutting department and sewing department during the Preview sample & SMS sample stage.
15. Provide order details for the shipping department to apply the CO if those PRV + SMS, Proto samples send directly to the UK. (order details e.g sample price, HS code, Cat & Style Description)
16. Provide carton marking to the packing department during Preview & SMS sample stage.
17. Submit embroidery and printing strike‐off during Proto sample/Preview sample stage for buyer approval.
18. Submit SLM washing sample & embroidery/printing strike‐off to Internal Certify Lab for evaluation, after that, submit the pass test report to World Cat for reference.
19. Provide PID to the consol team after reviewing the sample stage. The Consol team will forward to the buyer which to update the GBS System to release the forecast to the factory (SMU order – at Proto sample stage).
20. Forward details, strike‐off & sample to bulk MR team after Sealing sample approved.
Bulk
1. Checking tech pack against sample request form (Master 0) after handover meeting with development department when receiving bulk order.
2. Issue sample request form to do the Size Set sample & PP sample and submit for buyer approval.
3. Issue worksheet for marker room, fabric , and accessories purchase once consol release.
4. Forward worksheet and tech pack to embroidery department (for embroidery purchase purpose) & printing department (prepare the print ink, material).
5. Checking the approved sample, comments, and tech pack before bulk production.
6. Provided final worksheet, trim card, approved sample, and strike‐off to the relevant department (e.g production, QA, Shipping, warehouse… etc).
7. Download barcode listing once received the GBS PO (for purchase carton sticker purpose).
8. Issue carton marking to purchase bulk carton.
9. Arrange PP meetings with relevant departments before bulk production.
10. Forward short shipment chart to the buyer if any short ship.
11. Follow up and check the trim card once again.
12. Checking accessories confirmation and passing it to the warehouse for further action.
Development
1. Sample development follows up from Proto Sample, Reference Sample (for colorway/workmanship reference).
2. Liaise with relevant departments and buyers to clarify tech pack discrepancies, workmanship issues, technical issues, embroidery/printing issues.
3. Create sample status charts to easily reference styling and follow-up.
4. Get ready with all the details to issue a sample request form.
5. Distribute tech pack to sample room, marker room, and forward tech pack to embroidery and printing department on the same day.
6. Hold the meeting with the sample team and marker room to inform them regarding buyer's requirements and discuss technical issues.
