Subcontract and Contract Management Specialist
- Collaborate with the contracts team to oversee subcontractor contracts, managing change orders and variation claims from subcontractors, and preparing change order/variation order claims for clients.
- Maintain meticulous records of all change orders and variations, ensuring adherence to contract requirements and timely submission to clients.
Project Coordination and Support
- Work closely with project teams across disciplines (Engineering, Construction, Procurement, etc.) to facilitate timely contract price adjustments and claims.
- Prepare comprehensive documentation and substantiation for variation orders/claims, ensuring compliance with contract terms and facilitating prompt client approval.
Subcontracting Administration
- Manage the full scope of subcontracting activities, including claims, measurements, and bill of quantities.
- Prepare tender/subcontract documents, bid evaluations, and subcontract summaries, ensuring alignment with project specifications and contractual requirements.
Financial Oversight and Compliance
- Monitor and review subcontractors' milestone progress claims and invoices, coordinating with internal cost control and finance departments for payment processing.
- Administer subcontracts, issue work orders, and manage performance securities with subcontractors.
Contractual Coordination and Communication
- Organize kick-off meetings and ad-hoc meetings with subcontractors, facilitating effective contract implementation.
- Handle day-to-day contractual correspondence with subcontractors, including the preparation and tracking of contractual letters.
Budget Management and Cost Control
- Procure subcontracting work within budgetary constraints and financial guidelines, monitoring costs to ensure adherence to allocated budgets.
- Facilitate subcontract close-out and settlement of contractual disputes, overseeing final accounting and completion certifications.
Administrative Support and Executive Assistance
- Maintain confidentiality and discretion in handling sensitive information and documents.
- Support executive calendars, scheduling meetings and appointments as required.
- Process expenses and reimbursements for executive and senior management teams.
Safety and Compliance
- Ensure compliance with Occupational Safety and Health Regulations, promoting safe operating procedures among personnel.
- Participate in the preparation of safe work and emergency procedures, fostering a secure work environment.
Additional Responsibilities
- Lead subcontract teams on assigned projects, ensuring effective coordination and project delivery.
- Evaluate, negotiate, and settle invoices with subcontractors, supporting estimating, conversion, and billing processes.
- Participate in project meetings, interfacing with cost control, procurement, and other stakeholders as needed.
- Handle any other duties and responsibilities assigned from time to time to support project goals and objectives.
