1. Ensuring that staffs members of the department understands the process, policy and S.O.P.s of the department. Empowerment to staffs for standard operations procedures. Ensuring all operations of the department adheres to S.O.P. from both Examination Department and Academic Division.

2. Develops, initiates, maintains, and revises policies and procedures for the operations of the Department and its related activities to prevent illegal, unethical, or improper conduct.

3. Conduct periodic internal review of work processes for improvement and productivity. Recording of all processes updates and disseminate written policies and procedures related to compliance activities to the auditor and related departments.

4. Ensuring all required documents and assessments are filed and archived for audit.

5. Recording of all archived assessments in inventory records.

Secretarial (for Examination Boards):

1. Planning and scheduling of all EB meetings, disseminating information to both internal and external Board Members.

2. Preparation of all documents such as attendance, agenda, assessment papers.

3. Checking of all results and assessment papers are ready for presentation during Examination Board Meetings. Presentation of results and assessment papers.

4. Booking of venue and setting up of venue on meeting day.

5. Recording of minutes and send minutes for approval by Board Chairman and Department Director.

Administration and Operations:

1. Preparation of all assessment for pre/post Examination and Examination Boards every quarterly.

2. Ensuring accurate data (marks, date and lecturers) are entered correctly in the SEMS system.

3. Ensuring all assessments papers are ready for Board approval and administering of examination to students.

4. Liaising with HOD and lecturers for all assessment’s papers and marks issues.

5. Planning of examination schedule and internal and external invigilation duties.

6. Liaising with U.K. Universities partners on all marks and assessments for preparation of Board meetings. Meeting all deadlines such as submission of papers, submission of assessments samples to University and marks presentation for Board meetings.

7. Checking of results and ensuring accuracy before releasing to students. Checking of accuracy of Examination Board minutes by University Partners and follow-up on any discrepancies.

Management Reporting:

1. Compiling data and statistics for quarterly Management meetings for Director of Examination Department.

2. Ensuring data accuracy and liaise with M.I.S. Department if discrepancies arises.
